Handle incoming appointments

When a customer requests an appointment with you, we'll alert you about an incoming appointment. In this section we'll tell you more about how you can handle these incoming appointments.

Are incoming appointments automatically confirmed or do I need to accept them first?

Incoming appointments are confirmed according to the subject they belong to.
Subjects normally need a confirmation unless they are set on auto-accept by the administrator. In that case the customer can only choose one time when the appointment will take place.

 

Where can I check my incoming appointments?

As an agent, you can check an overview of your appointments at any time.
In this overview, you are given 3 different categories:

  • Incoming appointments
  • Up for review
  • Outgoing appointments 

How to:

  1. Go to Appointments
  2. Under 'Incoming appointments' you can see the appointments that have been requested
  3. Click on the 'view' button next to an appointment to accept the appointment and/or see it's options.


 

How do I accept new incoming appointments?

When new appointments come in, this can be managed in the appointments overview. When viewing the appointment's details you can accept the appointment. If you don't want to accept the appointment you have the option to either reassign, decline or reschedule the appointment

How to:

  1. Go to Appointments > Incoming appointments
  2. Click on the desired appointment
  3. Click on the desired appointment option 
  4. Confirm your action and you're done!

What actions can I take for new appointments?

Appointments that have been scheduled can be edited in 3 different ways:

  • Re-assign
  • Decline
  • Reschedule

 

Simply go the appointment overview and click on the desired appointment for more options

How to: 

  1. Go to Appointments > Incoming appointments
  2. Click on the desired appointment
  3. Click on the desired appointment option
  4. Confirm your action and you're done!
